Purple & Gold Board of Directors-Meeting Minutes
October 19, 2009 
 

The regular monthly meeting of the Purple & Gold was held on Monday, October 19, 2009 at 7pm at Loyola Hall, Cheverus High School.  Board members present were Maryellen Fitzpatrick, Nancy Rockefeller, Ann Sawchuck, Eileen McDonald, Stefanie Nichols, and Jennie Gwilym.  Others in attendance included: Susan Nappi (Girls Soccer), Su Rawcliffe (Girls Soccer), Chris Woods (Girls XC), Karen and John Moreshead (Swimming), Kevin Haley (Swim Coach), Gina Day (Freshman Football), Jackie Witham (Girls Ice Hockey), Peter Dion (Sailing), Mary Jo McDonough (Field Hockey) and Gary Hoyt (Athletic Director) 

Call to Order
A.  Vice President, Maryellen Fitzpatrick called the meeting to order at 7:00pm and opened with a prayer. 

Previous Meeting Minutes
A.  A motion was brought forward to accept the minutes from the September meeting without exception.  The motion was seconded and the minutes were unanimously approved.

New Business
Treasurer’s Report-
Ann reported that we took in $15,928 during the month of September and spent $2,617 for an increase of $13,311 for the month.  We currently have $30,380 in available funds.  Gary and Ann will be meeting before the next meeting to release any unused balances from the prior year

      B. Liaison Report

Eileen reported that we plan to start appointing liaisons for the following year at the year-end banquets.  There are also plans to do more training for liaisons.  At the next meeting on November 9th there will be a training session immediately following the P & G meeting.  Su and Susan are looking for a girls JV soccer liaison.

                   C.  Fundraising- no report

                   D.  Concessions- Stefanie is available to train anyone who is unfamiliar with  
running concessions.  The multi-purpose room will be re-arranged to accommodate basketball concessions.

                    E.  Administration Updates-

Gary reported that we are the only school in the SMAA that has all of its
Fall teams headed for the playoffs.  The softball dugouts are complete. 

The benches and storage boxes will be completed over the winter.  The  girl’s field hockey scoreboard has arrived.  Gary would like to see all teams selling 50/50 tickets at their games.  Supplies to do so can be picked up from him.  He also thought we might want to consider selling a broader range of food in the snack shack- chowder, chili, French fries.

Gary also explained that team apparel (not uniforms) purchases need to go through his office.  A small mark-up is taken on behalf of the bookstore. 

F.  Fundraising/Expenditure

Sailing approved $1,294 for dinners, banquets, regatta, and sweatshirts
Computer raffle will hopefully raise $1500.  Check out the Sailing Teams

Swimming- An additional $1,000 was allocated to help cover the cost of   
the new scoreboards at the YMCA.  Last year $1,000 was allocated as well.  Total $2,000

Boys and Girls Soccer will be selling cookie dough for their fundraiser.

Potential fundraisers for other groups- pies and poinsettias 
Meeting was adjourned at 8:25.  Next meeting November 8, 2009
