Purple & Gold Board of Directors-Meeting Minutes
April 12, 2010
The regular monthly meeting of the Purple & Gold was held on Monday, April 12 2010 at 7pm at Loyola Hall, Cheverus High School. Board members present were Mary Ellen Fitzpatrick, Stefanie Nichols, Ann Sawchuck, Eileen McDonald, Nancy Rockefeller, Nicole Hoglund, and Jennie Gwilym. Others in attendance included: Karen Moreshead (Swimming), Jackie Witham (Girls Hockey), Chris Woods (Cross-Country), Ralph Hendrix (Baseball), Su Rawcliffe( Girls Soccer), Gina Day (Football and Boys Outdoor Track), Dan Haskell (Debate), Helen Cella and Cindy Webber (Boys Hockey), and Patsy Fowler (Assistant Director of Athletics and Activities)
Call to Order
A. Vice President Mary Ellen Fitzpatrick called the meeting to order at 7:00pm and opened with a prayer.
Previous Meeting Minutes A. A motion was brought forward to accept the minutes from the January Meeting. The motion was seconded and passed.
II. Business Updates
A. Highlights of 6 pm Board meeting-
1. The Board decided to review the By-Laws at the May meeting when Bob returns from his trip
2. We reviewed the openings on the board for the upcoming year. There will be two openings to fill for Mary Ellen Fitzpatrick and Margaret Rogosienski. We realized that we have not been following the by-laws that call for 3 individuals with a 1-year term, 3 individuals with a 2-year term and 3 individuals with a four-year term.

A list of names for prospective new board members was generated. Additionally it will be posted on the web site for other parents interested in joining the board
3. We approved the purchase of a BJ Card for Deb O’Brien in order to restock the paper goods for Team Banquets
B. Treasurer’s Report-
Ann reported that the final expenditures of teams was as follows
Boys Hockey- $$2,100
Swimming- $2,400
Girls Hockey- $724
As of 3/31 the Purple and Gold has a balance of approximately $64,000
During the month, Purple and Gold raised $4,250. Sources of income included Drama, Girls Basketball Tournament, Ski Team, Boys Basketball Shoot-a-thon, and the Swim-a-thon. Year to date we have raised $59,000 and we have approved expenditures of $47,346.
Next month the remaining winter sports teams will report on their fundraising and expenditures for the season.
C. Liaison Report – All Liaisons should be reporting their expenditures for the season using the format that Eileen sent out. Gina Day stepped up to be the Outdoor Boys Track Liaison. We still need one for Girls Track.
D. Fundraising- no report
E. Concessions- The outdoor concession will be ready to go the week after vacation. All spring liaisons should be scheduling it to be staffed during home events. The track team should do this as well.
The food rep from Sysco thinks that the new greaseless fryer will save us money if we use it to cook out pizzas rather than having them delivered.
F. Administration Updates- Patsy reported that the SMAA Summit was taking place on Tuesday with each school in the SMAA sending 10 student/athletes.
G. Expenditures-
Wrestling Team- $100 (done by e-mail)
International Club-$100 (done by e-mail)
BJ Card for Banquet Supplies-$500
Softball- $2,800 Storage and racks for new dugouts- $2,350 Banquets/Team Dinners $450
Debate Team- Up to $2,500 depending on airplane ticket costs
Greaseless Fryer-$4,000
H. Fundraising
Girls Softball and Boys Baseball Raffle- Goal to raise $9,000
DR Immersion Trip- Krispy Kreme Sale and Talent Show
Drama- selling ad space in program
I. New Business
Cindy Webber asked that the bi laws be reviewed that limit each team to only one fundraiser a season. She feels that the girls and boys hockey team could have done an additional fundraiser in season since the pre-season tournament is done before the season even really starts.
Mary Ellen Fitzpatrick talked about the opportunity to get other activities involved in fundraisers for teams. She gave the example of having the debate team sell baseball raffle tickets along with the softball and baseball teams. The board needs to consider reactivating the position of fundraising to facilitate these opportunities.
